In the Workspace Module of the Geopath Insights Suite, users now have the ability to share specific Scenarios and entire Project folders with other users. An overview video of these new features can be found below:
Sharing a Scenario/Project
Within the Workspace Module, users can create a Scenario (either an Inventory Plan or Market Plan), or a Project (a ‘folder’ that contains one or multiple Scenarios). By default, Scenarios are placed in the Sandbox environment but can be copied/moved to Project folders at any time.
PLEASE NOTE: individual Scenarios within a Project cannot be shared. Single Scenarios must be shared from the Sandbox or users can share an entire Project folder that contains one/multiple Scenarios.
In order to share a Scenario or Project within the Insights Suite, click the three vertical ‘menu dots’ next to the Scenario/Project name. After clicking these ‘menu dots’, users will be presented with several options:
From this menu, click “Share Scenario” or “Share Project” to begin the sharing process. By default, neither Scenarios nor Projects are shared with other users. In the dropdown menu on the following screen, users have two different options for sharing Scenarios/Projects:
- Share With Everyone At My Organization
- Share With Another Geopath Member Organization
By selecting the “Share With Everyone At My Organization” option, your Scenario/Project will be shared with all users who have access to the Geopath Insights Suite at your organization.
By selecting the “Share With Another Geopath Member Organization” option, a second dropdown menu will appear, which provides a list of all Geopath member organizations.
From here, users can select one or multiple organizations that will be able to view your Scenario or Project. Note, all users from the organization will be able to view the shared Scenario or Project.
Additionally, through this path, users are presented a checkbox labeled “Include Plan Set-Up Parameters?”.
- If this box is left unchecked, only the plan data will be shared, but not the input parameters (e.g., P18+ Audience for Roadside Bulletins in Los Angeles DMA for 4 weeks with TRP goal of 200).
- If this box is checked, the plan data and input parameters will be viewable to those organization(s) selected.
Viewing Shared Scenarios/Projects
When opening the Workspace Module, users will see only unshared Scenarios and Projects by default. To display shared plans, users must click the “Shared?” icon and change the filter value to “Yes” to show both Scenarios and Projects shared with your organization. Users can also click the ‘clear all’ button to show Scenarios and Projects shared with your organization as well as your unshared Scenarios and Projects.
PLEASE NOTE: Only the original creator of the Scenario or Project has the option to delete or un-share the Scenario or Project. Users who have received shared Scenarios and Projects can create duplicate versions if they wish to make edits, but cannot delete the shared Scenario/Project.
Un-Sharing a Scenario/Project
To un-share a Scenario or Project, first adjust your filters to show shared Scenarios/Projects within the workspace tab (see previous section for more info).
Click the three vertical ‘menu dots’ next to the Scenario/Project name you have previously shared. Because this Scenario/Project has already been shared, users will now see “Modify Sharing Rules” as an option in this menu:
Click “Modify Sharing Rules”. On the following screen, set the “Select Plan Visibility” option to “Don’t Share (Only Visible to Me)”. Any additional users who previously had access to this shared Scenario/Project will no longer be able to view it in their accounts.
